1. What can you complain about?
This procedure is intended for complaints about Scope Workforce Planner and its services. For a technical issue or user question, you can first use the normal support route. A privacy request or privacy complaint can be submitted according to the privacy policy . A work-related suspicion of wrongdoing requires different handling. See the whistleblowing policy.
2. Making a complaint
You may submit your complaint directly in writing. Calling your contact first may help, but is not mandatory. Email info@scopeworkforceplanner.com with the subject “Scope Workforce Planner complaint”. You can call 023 561 52 42.
Include your name and contact details, organisation if relevant, what happened and when, any reference and the solution you would like. Share only necessary documents. Do not send passwords, identity documents or complete employee files to the general mailbox.
3. How is the complaint handled?
- The complaint is recorded and receipt is acknowledged. You will be told who is handling it.
- The handler reviews the available information and requests clarification if needed. Those involved are given an opportunity to respond where appropriate.
- We aim to provide a substantive response within ten working days of receipt. This is a target, not a guarantee. If more time is needed, you will receive an explanation and a new expected response date.
- You will receive a clear response with the assessment, reasoning and any solution or next steps.
Does your complaint concern the person handling it? Let us know so another sufficiently independent handler can be appointed.
4. Confidentiality and data
Complaint information is shared only as necessary for assessment, resolution, evidence or a legal obligation. When an external expert is involved, we assess what information is needed, that party’s role and the confidentiality arrangements required. Making a complaint is not general consent to share your file freely.
Complaint data is retained for as long as necessary to handle it and record the outcome. Longer retention requires a substantiated legal or evidential reason. Contact us with questions about the retention period for your complaint. See also the privacy policy.
5. If you disagree with the outcome
You can request a review, giving reasons. This procedure does not restrict your statutory rights or require you to complete the internal process before approaching a competent regulator or court. For applicable contractual arrangements, refer to the agreement and terms. This webpage does not amend them.
